Showcase/RFP and DDQ response

RFP and DDQ response

A response desk for inbound due diligence questionnaires and RFPs: requests broken into questions, each answered from the approved library or drafted from policy documents with the matched content and past questions shown, routed to the approver for its category with alerts instead of email chains, and exported as the response document with a full audit trail.

Overview

Every limited partner sends a questionnaire and most questions have been answered before, in a document nobody can find, by someone who has left. Answers get retyped, approvals happen in email, and nobody knows which version legal signed off.

The desk ingests the request and splits it into questions with a category and an approver. For each question it proposes the legally approved library answer or generates a new one from the policy documents, showing the matched content and past questions with scores; the approver accepts or edits and the answer joins the library. The response document is generated from the approved answers, and every generation, tool use and edit is kept for audit.

Key features

  • Ontology retrieval-augmented generation: previous DDQ requests and policy documents searched to draft compliance-approved responses.
  • Customizable request categorization: approvers designated per question by expertise.
  • Automated alerting: approvers notified without email exchanges.
  • Full auditability: chain of thought, tool use, approvals and changes to approved responses over time.

Decisions it produces

  • Approve a proposed answer into the library
  • Generate a new response with word count and sources
  • Replace the current answer
  • Export the response document
