Vendor agreement compliance

Every purchase order, goods receipt and invoice validated against the vendor agreement's terms as it arrives; violations in an inbox with the term, the purchase order and the related party, a recommended action, and business rules captured from the agreement text without code.

Overview

Agreements set minimum quantities, prices, payment windows and delivery terms. Purchase orders ignore them one at a time, and the money leaks in small amounts nobody chases.

The app extracts the terms into rules, applies them to every incoming order, receipt and invoice, and puts each failure in an inbox with the clause, the order and the vendor. An analyst filters by status, time and assignee, takes the recommended action or dismisses it, and the decision informs the next recommendation. New rules are captured from the agreement text and switched on without code.

Key features

  • Automated validation: rules on every purchase order, goods receipt and invoice for minimum order quantity, price, payment window, delivery, credit limit and quality.
  • Alert inbox: violations with status, assignee, purchase order, detection time and term type; filters, bulk triage, close, assign and re-assign.
  • Business rule capture: rules extracted from the agreement text and other sources and enabled per term, no code authoring.
  • Human-in-the-loop recommendations: a proposed action per violation, with decisions captured to inform future recommendations.

Decisions it produces

  • Take the recommended action or dismiss a violation
  • Close, assign or re-assign a violation
  • Enable, disable or edit a rule
  • Escalate a vendor with repeated violations
